Purpose of processing your information

In order to fulfil its purpose, Dansk AM Hub collects and processes certain basic personal data such as name, workplace and email address. For example, we need personal data to be able to invite you to and inform you about conferences/meetings/project programmes and similar events. In other words, processing personal data for specific, legitimate purposes is a key function of our work in order to raise awareness of the opportunities and effects of 3D printing.

We only process information about you for specific and legitimate purposes. Which information we hold about you, and for what purpose we use it, depends on your relationship with us. Our services are primarily aimed at companies, knowledge institutions, organisations, etc. Therefore, the information we process is primarily related to the organisation you represent, e.g. your title, your work email, and which events, activities and projects you may be involved in for your company or organisation with us.

The legal basis for Dansk AM Hub’s processing of your information follows from the GDPR, Article 6(1), and the Danish Data Protection Act.

When does Dansk AM Hub collect information about you?

Dansk AM Hub collects personal information when:

  • you register for one of our events
  • you sign up for our newsletter
  • you sign up for our CO2e calculator
  • you have questions for Dansk AM Hub or otherwise communicate with us
  • you participate in board work or other networks with us

What information does Dansk AM Hub collect about you?

When you have a relationship with Dansk AM Hub, we generally collect and store the following personal data about you:

  • Your name
  • Your title and workplace
  • An email address
  • A phone number
  • Information about your relationship and affiliation with Dansk AM Hub, including which services you receive from us, which activities/projects/networks you are affiliated with, and which events you have attended.
  • The dialogue and correspondence you have had with us, e.g. in the form of letters and emails.
  • Payments you have made to us, e.g. in connection with an event.
  • Photos or video recordings in which you appear, for example if you participate in one of our events or projects or with one of our partners.

Dansk AM Hub stores and maintains your information for as long as there is an active and relevant relationship between you and Dansk AM Hub.

How does Dansk AM Hub use information about you?

Dansk AM Hub processes information about you for the purpose of providing the services that are accessible via Dansk AM Hub.

Dansk AM Hub uses information about you to:

  • invite you to our events and run events (preparing participant lists, name badges and sending practical information and follow-up after the event). Information is shared with any co-organisers and hosts of the event.
  • communicate about our activities and events by publishing photos and video recordings from events on am-hub.dk, in other publications or with partners or media that mention Dansk AM Hub and our events.
  • create and manage users and permissions in our CO2e calculator
  • show members of Dansk AM Hub’s board/network on our website or in other contexts.
  • deliver the newsletter to those who have subscribed to our newsletter.
  • report and provide statistics to grant providers and sponsors

When does Dansk AM Hub delete your personal data?

  • Information collected in connection with your communication with us, your enquiries and requests for information is deleted when it is no longer necessary for the relevant processing.
  • Information collected in connection with projects, events, agreements, applications, etc. will generally be deleted 5 years after the end of the calendar year in which the project, event, agreement, application, etc. is completed. However, the information will be stored for a longer period if (i) we have a legitimate interest in storing the information for a longer period, (ii) it is necessary for legal claims to be established, exercised or defended, or (iii) storage is necessary for us to comply with legal requirements. Accounting records are stored for 5 years until the end of a financial year in order to comply with the requirements of the Danish Bookkeeping Act.
  • Information collected in connection with your subscription to the newsletter is deleted when you withdraw your consent to the newsletter. However, the information may be stored for a longer period if we have a legitimate need for longer retention.

 

What rights do you have because Dansk AM Hub processes your information?

You have a number of rights under the GDPR because Dansk AM Hub processes your personal data:

  • Right of access: You have the right to access the information that we process and store about you.
  • Right to rectification: You have the right to have incorrect information about yourself corrected.
  • Right to erasure: In special cases, you have the right to have your information deleted before our general deletion deadline applies.
  • Right to restriction of processing: In certain cases, you have the right to have the processing of your information restricted. In such cases, we may in future only process the information—apart from storage—with your consent, for the purpose of establishing, exercising or defending a legal claim, or to protect a person or important public interests.
  • Right to object: In certain cases, you have the right to object to our otherwise lawful processing of your information.
  • Right to data portability: In certain cases, you have the right to receive your information in a structured, commonly used and machine-readable format and to have this information transferred from us to another data controller without hindrance.
  • Right to withdraw consent: You have the right to withdraw consent at any time. If you choose to withdraw consent, this does not affect the lawfulness of our processing of your information based on your previously given consent. It therefore only takes effect from the time you withdraw your consent.
  • Right to lodge a complaint with the Danish Data Protection Agency: You have the right to lodge a complaint with the Danish Data Protection Agency if you are dissatisfied with the way we process your information.
